Pensacola Chapter of FPRA - Board Roles

President

The President shall preside at all meetings of the membership and of the Board of Directors; attend meetings of the State Association's Board of Directors; enforce observance of and adherence to the bylaws of the Pensacola Chapter and the State Association and the Articles of Incorporation; appoint all committees; fill all vacancies on the Chapter Board of Directors with the concurrence of a majority of the Board of Directors; and perform such other duties as the office shall require as described in the President's job description. Conduct an annual members’ preferences survey (there may be a better name for this – the survey where we gather info. On programming topics, meeting times/locations, interests in networking events, etc.)

President-Elect

The President-Elect shall automatically succeed to the presidency. His/her duties shall be delegated to him/her by the President and the Board of Directors. The President-elect shall serve as membership chairman; preside in the absence of the President; attend meetings of the State Association's Board of Directors; provide a tally of prospective luncheon RSVPs to the VP – Professional Development; serve with the Vice President of Finance at the check-in table during monthly luncheons; and assume other duties as the President shall assign or as described in his/her job description. The President-Elect shall perform the duties of the President in the event of his/her inability to serve.

Past-President

The Past-President shall serve as chief counselor to the President and President-Elect. He/she shall be chair of the Nominating Committee, as appointed by the Board; serve as liaison to State Board; oversee Chapter Challenge; ensure compliance with Chapter by-laws; and assume other duties as the President shall assign or as described in his/her job description. Develop the annual Board Interest Survey. Maintain periodic contact with past chapter presidents and ensure they are notified/invited to chapter events.  (This can include inviting them to coffee with the Board (current and incoming Board members in August – at a #netconnet coffee when we have those, and to the induction ceremony for the new board.)

Vice President - Finance

The Vice President - Finance shall be in charge of the Chapter’s funds and financial records. The Vice President - Finance shall establish proper accounting procedures for the handling of the Chapter’s funds and shall be responsible for the keeping of the funds in such banks, trust companies and/or investments as are approved by the Board of Directors. He/she shall report on the financial condition of the Chapter at all meetings of the Board of Directors and at other times when called upon by the President. He/she shall be responsible, along with the President-Elect, for check-in and payment process at monthly luncheons. At the expiration of his term of office, he/she shall deliver to his successor all books, money, and other property in his charge, or, in the absence of a successor, he/she shall deliver such properties to the President within 30 days of term expiration.

Secretary

The duties of Secretary of Chapter shall be responsible for the proper recording of proceedings of meetings of the chapter, Board of Directors and all committees; and compilation and distribution of agenda at monthly luncheons. Will take notes during monthly professional development presentations and use the notes to prepare or coordinate (Allows for the recruitment of blog writers) the preparation of a monthly blog for the VP-Technology to use in the monthly newsletter and post on the chapter’s web page.

Vice President – Communications

The duties of Vice President of Communications include publication of monthly newsletter and graphics and content creation that promotes Chapter interests. He/she shall also serve as the primary contact for media inquiries and/or outreach; acts as liaison with local media outlets to schedule interviews/appearances of FPRA members (ex. PEP TALK monthly spots) and track which member(s) will represent the chapter (inform VP - Technology so these can be posted on chapter social media so members know when to tune in and then post links to the coverage)  and be responsible for maintaining Chapter media list for both Chapter purposes and membership benefit. The Vice President of Communications will work closely with the Vice President of Technology, Programs and Networking to market Chapter needs and interests.

Vice President – Digital Media

The Vice President of Technology’s primary responsibilities shall include the administration and scheduling of social media content; maintenance and update of Chapter website; and publication of monthly blog to synopsize luncheon presentations. He/she shall also work with Vice President of Communications, Professional Development and Networking to digitally market other Chapter needs and interests. Will work with the Secretary to post a monthly blog about the professional development topic presented at monthly meetings in the monthly newsletter and post on the chapter’s web page.

Vice President – Image

The Vice President of Image shall serve as the chief liaison and organizer of all state expectations for local and state Image Awards. He/she shall manage and oversee the Image program on the Chapter level; coordinate, update and distribute chapter’s annual calls for entries; promote Image competition on the Chapter level; secure local judges for our local state Golden Image partners; order awards from State office; and plan and coordinate awards event, including script and slide presentation development and securing of presenters.

Vice President – Professional Development (Programs)

The Vice President of Professional Development consider input gathered from the Members Preferences’ Survey and will secure monthly speakers/panelists at least 60 days in advance; book venue and catering not to exceed a price-per-head set by the Chapter board; relay all luncheon information to the Vice President of Communications in advance of meeting; work with Vice President of Technology to coordinate blog posts of luncheons; and create, distribute and curate all luncheon satisfaction surveys.

Vice President – Networking

The Vice President of Networking shall gauge the professional expectations of members to network through periodic mingling events; will consider input gathered from the Members Preferences’ Survey and be responsible for planning, scheduling and implementation of such events on days and times and at locations convenient for majority of membership; and work with Vice President of Communication and Vice President of Technology to market such events. Represent FPRA Pensacola Chapter on the Board of the new UWF FPRSA chapter and keep the VP  - Technology informed of student chapter news for the newsletter and social media posts.

Vice President – Sponsorships and Fundraising

The Vice President of Sponsorships and Fundraising shall be responsible for securing sponsorships of monthly luncheons; coordinating, scheduling and overseeing at least two separate fundraising events per year for scholarships, awards and other Chapter activities. He/she shall work with Vice President of Communications, Technology and Networking to market events and ensure high participation. Coordinate with VP – Image to identify sponsors for the annual Image awards event.

At Large

The at-large board member will be a voting member whose primary charge will be that of assisting other board members with duties and responsibilities as delegated by the President. He/she shall also serve as chief liaison to the larger Chapter membership regarding any complaints, comments, general inquiries or conflicts. The at-large member may be asked by any Board member to act as a substitute should a Board member need to request a temporary leave of absence from their position of 1-2 months.
